BEAR RIVER VALLEY LIBRARY CONSORTIUM HELD IN CONJUNCTION
WITH THE GARLAND LIBRARY BOARD
The meeting was called to order by Tremonton Chairperson Linda James at 7:02 p.m. The meeting was held in the Garland Library at 86 West Factory, Garland, Utah. Those in attendance were Tremonton Library Director Kim Griffiths, City Council Representative Diana Doutre, Chairperson Linda James, Board Secretary Laura Bloomfield, Board Members Nancy Bills, Kathy Wood, Librarian-Secretary Rebecca Jeppesen; Garland Library Director Tate Atkin, City Council Representative Linda Bourne, Chairperson Michelle Stay, Board Members Torie Cutler, Kayla Miller, Elizabeth Murphy, Lisa Smith, Anjie Towne, and Kerrie Young.
1. Welcome
Tremonton Chairperson James opened the meeting and invited everyone to introduce himself or herself.
2. Approval of Agenda
Motion by Tremonton Chairperson James to approve the Agenda. Garland Board Chairperson Stay seconded the motion. Vote: Tremonton City Council Representative Doutre – aye, Chairperson James – aye, Board Secretary Bloomfield – aye, Board Member Bills – aye, Board Member Wood – aye; Garland City Council Representative Bourne – aye, Chairperson Stay – aye, Board Member Cutler – aye, Board Member Miller – aye, Board Member Murphy – aye, Board Member Smith – aye, Board Member Towne – aye, Board Member Young – aye. The motion carried.
3. Plan Annual Consortium Strategic Goals
a. Bear River Valley Community Activities Calendar and Consortium Website with Links to Each Library
The Bear River Library Consortium would like to host a joint Consortium Website with links to the Garland Library, Tremonton Library, and a Community Calendar. They are looking for a volunteer who knows how to set this up. Board Secretary Bloomfield’s husband has set up a community calendar at brvpost.com.
b. Combined Library Board and Staff Training
When either library brings in a guest trainer from Salt Lake City, they will invite the other library board and/or staff to participate in the training meeting.
c. Annual Combined Activities
The Tremonton and Garland Libraries will host the joint summer reading party, a combined annual activity for adults, one for teens, and one for children. They will discuss which ones to combine.
d. Board Member Ideas
The Bear River Valley Consortium could use Facebook and add announcements on city water bills to make the public aware of consortium activities and the opportunity to check books out from both libraries. Double-sided calendars could announce the Garland Library schedule on one side and the Tremonton Library schedule on the other side. Joint activities could include a street dance for teens and families, life-size foosball and other life-size games (like the teen Hungry Hippo game a few years ago), book art, and a pajama Read-a-thon for families.
4. Plan Summer Reading Program Party
a. 2018 Summer Reading Program Theme
The 2018 Summer Reading Program theme is “Libraries Rock.”
b. Day and Time for Opening Party
The Opening Reading Program Party has been tentatively scheduled on Monday, June 4, 2018, from 5 – 7 p.m. The teen activity will take place at 7 p.m., with a possible movie in the park at dusk. Hosting the party on Monday night may work better, because food trucks and movie providers usually have other obligations on weekends.
c. Signups
The Bear River Valley Library Consortium will do a combined online signup for the Summer Reading Program. Advertisements and a notice on the signup form will clarify that patrons can sign up for both library programs with the same form.
d. Activity Assignments
The Bear River Library Consortium will need lots of board members and volunteers to supervise the Summer Reading Party activities. Music activities could include musical chairs, a rock-band photo booth, dancing with shaker eggs and sticks, a kazoo band, and craft drums and harmonicas made out of popsicle sticks with rubber bands. Nan Croney could be invited to do another music presentation, and children could bring their own ukuleles. The teens could play Rock Band, Guitar Hero, or do Karaoke.
e. Refreshments
The Bear River Valley Consortium will advertise that food will be available for purchase during the Summer Reading Party. Food trucks will need to be contacted earlier than last year.
f. Movie Night
If available, Disney’s “Coco” musical fantasy would be a fun movie for the Opening Summer Reading Party.
5. Adjourn the Bear River Valley Library Consortium Meeting and convene the Tremonton Library Board Meeting
Motion by Tremonton Board Member Bills to adjourn the meeting. Tremonton Board Member Wood seconded the motion. Vote: Chairperson James – aye, Board Secretary Bloomfield – aye, Board Member Bills – aye, Board Member Wood – aye; Garland City Council Representative Bourne – aye, Chairperson Stay – aye, Board Member Cutler – aye, Board Member Miller – aye, Board Member Murphy – aye, Board Member Smith – aye, Board Member Towne – aye, Board Member Young – aye. The motion carried.
TREMONTON LIBRARY BOARD MEETING
1. Welcome
Chairperson James opened the Tremonton Library Board Meeting.
2. Approval of Agenda
Motion by Board Secretary Bloomfield to approve the Agenda. Board Member Bills seconded the motion. Vote: Chairperson James – aye, Board Secretary Bloomfield – aye, Board Member Bills – aye, Board Member Wood – aye. The motion carried.
3. Approval of Minutes from October 18, 2017
Motion by Board Member Bills to approve the Minutes of October 18, 2017. Board Member Wood seconded the motion. Vote: Chairperson James – aye, Board Secretary Bloomfield – aye, Board Member Bills – aye, Board Member Wood – aye. The motion carried.
4. Public comments: This is an opportunity to address the Library Board regarding your concerns or ideas. Please limit your comments to three minutes.
There were no public comments.
5. New Business
a. Discuss 2018 Summer Reading Kickoff Party (Volunteers and Food Trucks)
There were not very many food trucks at last year’s party, because most of them had already been booked; they will need to be contacted earlier this year. Director Griffiths will find out about contacting fair venders. Board member Wood will contact Sonny Boy and a corn dog vendor. Local businesses, like Domino’s and Subway, may be interested. Please let vendors know the day and time; if they can come, have them contact Director Griffiths.
6. Unfinished Business
a. Vote on Collection Development Policy
Motion by Board Member Wood to approve Collection Development Policy, with the highlighted changes. Board Secretary Bloomfield seconded the motion.
Vote: Chairperson James – aye, Board Secretary Bloomfield – aye, Board Member Bills – aye, Board Member Wood – aye. The motion carried.
7. Board Reports
a. Library Director’s Report
Director Griffiths received a letter from the Utah State Library, verifying that the Tremonton City Library has been recertified. In October, 13 individuals met with author Lance Conrad, 27 people attended the Halloween sugar cookie class, 63 children found pumpkins hidden around the library, and 25 teens participated in the After-Hours Con/Cosplay Contest. In November, 24 individuals attended the Caramel Apple class, 82 children found turkeys hidden around the library, 14 teens participated in the Teen After-Hours International Game Day activity, and 7 teens decorated the library for Christmas. In December, 103 individuals attended the Children’s Polar Express Party, and 40 teens made Christmas decorations. In January, 11 individuals met author Graham Bradley.
